How to set up pet and client information
A client record holds the human: contact details and their pets. The pet record holds everything care depends on — breed, age, feeding, medication, behaviour notes and vaccinations.
What you end up with: Records your team can act on during a busy morning.
Steps
Add your regular clients first
Start with the people who book most. The long tail can be added as they return.
Add each pet under its owner
One pet, one record, even when a household has three dogs — care notes belong to the animal.
Fill in the care essentials
Feeding, medication, allergies and anything that changes how the pet is handled.
Add vaccination records
Record type and expiry so JAP can tell you what's about to lapse.
Write notes for the next person, not for yourself
A note is only useful if someone else can act on it without calling you.
Recommended setup
- Keep notes short, specific and behavioural: what to do, not what you feel.
- Record emergency contact and vet details for every pet.
Tips
- Photos on a pet record help new staff match the right dog to the right run.
- Records carry through to bookings, so the information travels with the pet.
